We are looking for a client-focused, well-organized Finance and Administration Officer to handle day-to-day operations with a focus on efficiency and time management. The Finance and Admin Officer will primarily be responsible for all the financial and administrative matters of Flowered Earth and its subsidiaries, and will report to, and work closely with, the CEO.

Finance duties;

  • Ensure all cash and cheque payment requests are duly completed,certified and approved and all necessary supporting documents are provided before payment is done
  • Implement financial policies and procedures
  • Processing monthly payroll
  • Management of cash flow and preparation of monthly cash flow projections
  • Establish, maintain and reconcile the general ledger
  • Ensure transactions are properly recorded and entered into the computerized accounting system
  • Process and record petty cash transactions
  • Design and implement filing systems for the Property Business
  • Ensure filing systems are maintained and current
  • Manage accounting system including reconcile bank accounts, invoice agents, pay bills, and prepare commissions
  • Rent Collection and Tracking of payments for all units
  • Accounts Payables – Responsible for receiving and coding invoices, gathering approvals, scanning invoices and backup and entering in QuickBooks for payment
  • Responsible for mailing signed checks
  • Accounts Receivable – Responsible for drafting invoices from information submitted by suppliers and creating invoices in QuickBooks
  • Responsible for tracking for timing of second half invoices.
  • Filing of statutory returns including PAYE,NHIF,NSSF,KRA,VAT and With holding

Administration duties;

  • General management of the office and the subsidiaries i.e. ensure regular supply of power, water;ensure timely supply and adequacy of office supplies e.g. stationery, ink, paper;proper maintenance and safety of office
  • Proper maintenance of office files including client, accounting and contract files(ease of retrieving information).
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Coach, mentor and discipline office staff
  • Establish and monitor procedures for record keeping
  • Ensure security, integrity and confidentiality of data
  • Design and implement office policies and procedures

Education and Experience;

  • Bachelor’s degree in the relevant field
  • Vast experience in using Quickbooks
  • Good understanding of accounting principles including accrual accounting, reconciliations, general ledger journals and preparedness to learn more complex principles
  • Computer literate, including effective working skills of MS Word, Excel and e-mail
  • Effective communication skills with individuals at all levels of the organization
  • Able to work efficiently as a part of a team as well as independently
  • High level of critical and logical thinking, analysis, and/or reasoning to identify
    underlying principles, reasons, or facts
  • Able to work well under pressure and meet set deadlines

Required education: Diploma, Associate’s degree
Required relevant work experience: 2 years
Required languages: English (Spoken: fluent | Written: fluent)
